Refusal Letter Sample – Decline Employee’s Promotion Request

This is a refusal sample letter to turn down an employee’s request for a promotion.

REFUSAL LETTER SAMPLE – Here’s a sample letter of refusal in formally turning down a request of an employee to have a job promotion.

In the field of business, what’s essential when it comes to making communication are formal letters which can contain whatever type of queries, requests, and other reasons may need from a party to the other. And for employers, one most common letter they often get is letters of request for promotion. Employees tend to do this as this will be their ladder for further career growth, however, not everyone is given this kind of opportunity. How will you decline such? A sample letter is indicated below.

First to consider before deciding to deny someone a promotion is that you followed the proper selection process in the name of fairness and also to make sure that you get the best-qualified person for the position. You can meet the employee face-to-face to inform him or her but you can also do this through a letter formally written but it should not have a bit of any rudeness.

Here’s a format to use and some guide in writing: Business Sample Letter Format, Tips, and Guide

Check out the sample below:

Dear Mr. or Ms. (employee’s last name):

I have received your request for a promotion. I regret to inform you that you did not get the promotion for the position of (insert job position). This is because you don’t have enough skills and experience yet in doing the job of being a (insert job position) and below the standards of (insert company name). Therefore, the competent authority has decided to keep you at your present place of duty.

However, I would like to commend you for doing great in your current post, and if you continue to exert more effort and keep up with your good work, you might get the promotion next time. I hope you won’t take this personally as this is just business. Thank you.

Keep up the hard work.

Sincerely,
